ColabPlatforms.ai ("ColabPlatforms," "we," "our," or "us") is committed to protecting the privacy, confidentiality, and security of personal data processed in connection with its platform and services. This Privacy Policy explains how information is collected, used, stored, shared, and safeguarded when individuals access or use the ColabPlatforms.ai website, applications, software, and related services (collectively, the "Platform").

ColabPlatforms.ai offers a unified gateway to leading AI systems, including Grok, ChatGPT, Gemini, DeepSeek, Claude, and Perplexity, alongside specialized tools for prompt refinement, image creation (where supported), audio-to-text transcription, and persistent contextual memory to power more intelligent, efficient workflows designed for productivity, research, and decision-support use. In delivering these services, ColabPlatforms.ai processes certain personal data. This Privacy Policy is intended to provide transparency regarding those practices and to comply with applicable data protection and privacy laws, including the General Data Protection Regulation (EU) 2016/679 ("GDPR"), the California Consumer Privacy Act as amended by the California Privacy Rights Act ("CCPA/CPRA"), and the Digital Personal Data Protection Act, 2023 (India) ("DPDP Act").

By accessing or using the Platform, you acknowledge that you have read and understood this Privacy Policy.

Controller and Processor Roles

For the purposes of applicable data protection laws, ColabPlatforms.ai acts as a data controller with respect to information necessary to operate and manage the Platform, including account information, billing details (if applicable), and platform-level analytics.

When users submit prompts, conversations, files, contextual memory, or other content for processing through the Platform, ColabPlatforms.ai acts as a data processor on behalf of the user or the user's organization. In such cases, the user or enterprise customer remains responsible for ensuring that the personal data submitted to the Platform is processed lawfully and in compliance with applicable laws.

Information We Collect

ColabPlatforms.ai collects information that users choose to provide directly, information generated through use of the Platform, and certain information that is collected automatically.

When users create an account or otherwise interact with the Platform, they may provide identifying and account-related information such as name, email address, username, authentication credentials, and profile details. Authentication credentials are stored using industry-standard security practices, including hashing or encryption, as applicable.

The Platform is designed to process user-generated content. This includes prompts, queries, instructions, chat conversations with AI models, saved contextual memory entries, uploaded documents or files, generated text or images, audio files and transcriptions, and organizational information such as project names, folders, and conversation labels. Users may also configure preferences relating to AI model selection, automated model routing, prompt enhancement behavior, and personalized AI personas.

In addition to information actively provided by users, ColabPlatforms.ai generates and stores information as a natural consequence of Platform use. This includes AI-generated responses, enhanced prompts created by the Platform's prompt enhancement tools, metadata associated with the use of contextual memory, conversation history, and organizational structures created within the workspace.

ColabPlatforms.ai also collects certain technical and usage information automatically when users access the Platform. This may include IP address, device and browser type, operating system, timestamps, interaction logs, diagnostic data, and information collected through cookies or similar technologies. Such information is used to operate, secure, and improve the Platform.

Contextual Memory and Continuity Features

A core feature of ColabPlatforms.ai is its user-controlled contextual memory functionality, which allows users to intentionally save selected information from conversations for future reuse.

Only information explicitly saved by the user is stored as contextual memory. Saved memory is not automatically applied to future conversations and is only used when a user deliberately attaches it to a new interaction. Users may edit or delete saved contextual memory at any time through the Platform.

This design enables continuity across long-term workflows, projects, and research while ensuring that users retain control over what information is preserved and reused.

How We Use Information

ColabPlatforms.ai processes personal data to operate and maintain the Platform; facilitate interactions with multiple AI models; route queries to user-selected or automatically selected models; enhance prompts for clarity, structure, and effectiveness; apply user-attached contextual memory; generate text, images, and other outputs; organize conversations and projects; provide customer support; monitor performance and security; and comply with legal and regulatory obligations.

Certain features of the Platform rely on automated processing, including prompt enhancement and automated model selection through the "BEST" option. These processes are designed to improve user experience and output quality and do not produce legal or similarly significant effects on users. Users may override automated model selection at any time.

Sensitive and Confidential Information

Users are responsible for ensuring that they have the necessary rights and authority to submit any personal, confidential, proprietary, or sensitive information to the Platform. Unless expressly agreed in writing, the Platform is not intended for the storage or processing of highly regulated data such as protected health information, biometric identifiers, or other information subject to specialized regulatory regimes.

Sharing and Disclosure of Information

To provide its multi-model functionality, ColabPlatforms.ai shall transmit user inputs, including prompts and any user-attached contextual memory, to third-party artificial intelligence model providers selected by the user or automatically selected by the Platform. These providers may include OpenAI, Anthropic, Google, xAI, Perplexity, and DeepSeek.

ColabPlatforms.ai does not own, operate, or control these third-party models and does not control how such providers process data once received. Each provider operates under its own terms and privacy policies, and users are encouraged to review those policies before using specific models.

ColabPlatforms.ai may also engage third-party service providers and sub-processors to support hosting, infrastructure, security, analytics, and customer support. Such providers are contractually required to safeguard personal data and process it only in accordance with ColabPlatforms.ai's instructions.

Information may be disclosed where required by law, legal process, or governmental request, or where necessary to protect the rights, property, or safety of ColabPlatforms.ai, its users, or others.

ColabPlatforms.ai does not sell personal data and does not share personal data for cross-context behavioral advertising.

Data Retention and Account Deletion

ColabPlatforms.ai retains user content, conversations, and saved contextual memory for as long as a user maintains an account or until such content is deleted by the user, subject to applicable legal obligations.

When an account is closed or deleted, ColabPlatforms.ai initiates the removal of associated user content and contextual memory from active systems. Certain information may be retained for a limited period for legal, security, or compliance purposes. Deleted data may persist in encrypted backups for a reasonable period before permanent deletion.

User Rights

Depending on the user's jurisdiction, individuals may have rights to access, correct, delete, or restrict the processing of their personal data; to object to certain processing activities; to request data portability; or to withdraw consent where processing is based on consent. Requests may be submitted by contacting cs@colabplatforms.com, and identity verification may be required.

Security and Incident Response

ColabPlatforms.ai implements reasonable and appropriate administrative, technical, and organizational safeguards designed to protect personal data against unauthorized access, disclosure, alteration, or destruction. These measures include access controls, encryption where appropriate, monitoring, and incident response procedures.

In the event of a data breach involving personal data, ColabPlatforms.ai will take appropriate remedial action and notify affected users and regulators as required by applicable law.

International Data Transfers

ColabPlatforms.ai operates globally, and personal data may be processed and stored in jurisdictions outside the user's country of residence. Where required, appropriate safeguards are implemented to ensure that cross-border transfers comply with applicable data protection laws.

Children's Privacy

The Platform is not intended for use by individuals under the age of 18. ColabPlatforms.ai does not knowingly collect personal data from children.

Use of Data for AI Training

By default, ColabPlatforms.ai does not use user prompts, conversations, or saved contextual memory to train proprietary AI models. Aggregated or anonymized data that does not identify individuals may be used to improve platform performance and functionality. Third-party AI model providers may process data in accordance with their own policies.

Enterprise Data Processing Addendum

Enterprise customers may request a separate Data Processing Addendum ("DPA") governing the processing of personal data on their behalf.

Changes to This Privacy Policy

ColabPlatforms.ai may update this Privacy Policy from time to time. Material changes will be communicated through the Platform or by other appropriate means. Continued use of the Platform after such updates constitutes acceptance of the revised policy.
